We recently reached out to a number of our clients and asked them to tell their Towne Mailer story – from why they initially needed help with their mail processing to how our services have helped them improve and grow their own businesses.

This week, we spoke with Eva Samtmann, Practice Administrator at Sound Urological Associates. Over the years, Samtmann has contacted Towne Mailer for medical statement help each time she has moved medical practices.

Samtmann sought a reliable, responsive business to help her medical practices print, process, and mail their patient statements.

The Solution:

Once Eva Samtmann found a printing and mailing service that fit her employer’s needs, she didn’t want to let it go, even as she changed jobs several times over the past decade. Since she began using Towne Mailer to outsource her company’s medical statement needs in 2003, she has called our business consistently each time she moved employers to re-start service. Nine Years With Towne Mailer – And Counting.

We recently reached out to a number of our clients and asked them to tell their Towne Mailer story – from why they initially needed help with their mail processing to how our services have helped them improve and grow their own businesses.

 This week, we spoke with Shannon Drye, the office manager at Vital Ground, a small non-profit organization that focuses on grizzly bear habitats.

The Client: Vital Ground in Missoula, Montana

The Service They Needed:
Various bulk mailings per year, including donation requests and newsletters.

The Problem:
A small staff struggled to market their non-profit, get out a regular newsletter, and send mailings to potential donors. They didn’t want their talented personnel to spend time on mailings, and they didn’t want a single penny of their donors’ and members’ money to go to waste.

The Solution:
Vital Ground is a self-described “very small non-profit organization” with a very big mission: permanently protecting and enhancing grizzly bear habitats across North America. Their six-person staff is extremely busy with organizing events, petitioning for their cause, engaging in conservation work, and soliciting bear lovers for support. They simply didn’t have the time or the manpower to handle their bulk mailings.

Nine years ago, they called the locally-owned Towne Mailer for help.

“The folks down there are super to work with – very flexible, knowledgeable and helpful,” said Shannon Drye, the organization’s office manager. “They help us through the process, they’ve acted as the middleman, and it is all very convenient. They guide us thought every step of each project.”

Concrete Savings From Outsourcing their Monthly Statements

We recently reached out to a number of our clients and asked them to tell their Towne Mailer story – from why they initially needed help with their mail outsourcing to how our services have helped them improve and grow their own businesses.

We spoke with Rick Matter, an information technologies professional at Time Investment Company.

The Client:
Time Investment Company, West Bend, Wisconsin

The Service They Needed:
12,00 monthly statements, in English and Spanish

The Problem:
Time Investment Company, a Wisconsin-based direct sales finance company, was spending far too much money mailing off monthly statements to customers. Could outsourcing be the answer to their costly problem?

The Solution:
Time Investment Company wanted to make certain that the finance company was saving as much money as possible when finding a solution for their monthly statement processing and mailing tasks. Company employee Rick Matter was ready to do the math: he researched printing and mailing companies from around the country, conducted a comparative analysis, and found the best fit and the best deal around: Towne Mailer.

He then calculated how much it would cost his company to print, mail and process a letter and compared it to how much Towne Mailer charged. He was surprised to find that Towne Mailer could send every single letter for 20 cents less per mailing than they could in-house. When he calculated how much his company could save on their 12,000 monthly statements, the savings were too large to ignore. Towne Mailer was hired.

Matter soon found that the benefits of hiring Towne Mailer did not end with saving money: “It is very convenient and it saves internal labor,” he explained. “In addition, the customer service is outstanding. They are very responsive. If we have a change request, or if something isn’t working properly, they implement a change, sometimes within a couple of minutes.”

Matter also found that Towne Mailer didn’t balk at the challenge of sending invoices in both English and Spanish – not only were they willing to create and develop a new system to deal with statements in two languages, they welcomed the challenge.

In addition, Towne Mailer recently helped Time Investment Company update their statements and improve their logo.

“The logo and release went very smoothly. Even though we changed our data feed around, they were more readily able to understand the changes because they were already familiar with working with us and what we wanted to do,” Matter explained. “The entire release took place without any mistakes or errors.”

Saving Money and Time

We recently reached out to a number of our clients and asked them to tell their Towne Mailer story – from why they initially needed help with their mail processing to how our services have helped them improve and grow their own businesses. 

This week, we spoke with Rose Elliott, the utility services supervisor for the City of Whitefish.

The Client: City of Whitefish, Montana

The Service They Needed: Mailing approximately 4,000 bills and notifications each month, sometimes with inserts and fliers included.

The Problem: The city was wasting time executing the tedious task of processing and mailing all of their bills, notifications, and fliers in-house. According to Rose Elliott, “We were having to fold, insert, and sort all of the mail ourselves. It was wasting time and money, and it was a task that no one looked forward to.”

The Solution:

Four years ago, the City of Whitefish realized that its employees were wasting valuable time on city mailings. Not only did these manual mailings take workers away from their regular tasks, it also slowed down the overall printing and mailing process: mail took days to go out and any mailing issues that surfaced had to be handled individually.

Finally, although she was leery of making a change, utility services supervisor Rose Elliott decided to outsource the mailing process and get it out of the hands of her valuable workers.

“It’s always scary to do something new, but once we started doing it, it has been very nice,” she said. “We’ve had a really good experience. Our bills are still printed and mailed right here in the state. We keep the workforce here. And the turnaround for the mail is very quick. Our recipients get it within a day.”

The lighter workload isn’t the only benefit Elliott has seen from using Towne Mailer’s services.

“It saves time and money. That’s the second benefit. I don’t think I’ll ever go back to in-house printing,” she said. “The third benefit is the software program they use. Because we send them to Towne Mailer online, we can actually view the documents before hitting submit. The program tells us when they are printing them and when the process is complete. We also receive reports that list what was mailed, bad addresses, and other information.”

Elliott was also surprised to find that using Towne Mailer was even solving other problems in her department. “We had one customer who said he never received his bill. We were able to look at our report and find his account number, confirming we had mailed the bill. We use the data in those reports a lot. Because [Whitefish] has a large number of out-of-county residents, the data is great for address corrections. It saves us a large amount of time and research.”

Elliott has no plans of going back to an in-house bill processing system. “I would absolutely recommend Towne Mailer to anyone looking to save time and money,” she said.
